The City of Littleton is seeking a Business Support Specialist for Bemis Public Library. The Business Support Specialist provides professional level business support for the library through a broad and diverse set of administrative functions. Assignments are more complex in nature where considerable judgment, analysis, and initiative are required in resolving problems and making recommendations.

The Business Support Specialist will be a key player in improving the library’s business processes as well as upcoming projects and initiatives, including

  • Gearing up for the summer reading season, which is jam-packed with fun and will require an all-hands-on-deck approach.
  • Rolling out a software platform that will give the library better business intel for managing circulating collections.
  • Implementing a volunteer management system
  • Various improvements to the large meeting room

This part-time position will work 35 hours per week and is eligible for benefits, which includes medical, dental, vision, and paid time off.

Hiring pay range $25.18 - $27.83 per hour

This part-time position is non-exempt per FLSA and is eligible for overtime compensation.

Work Schedule: This part-time position will be expected to work 35 hours per week, generally within normal business hours. This position will be expected to work at the office in person, though occasional/ad hoc remote work may be permitted according to need.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Receives and addresses citizen inquiries and determines best course of action.
  • Performs or assists with a range of procurement and budgetary processes, including but not limited to ordering, accounts payable, budget tracking, cash management, and revenue deposits. Coordinates with Library Director on bid/solicitation and contract processes.
  • Serves as an administrative resource for department vendors and contractors.
  • Serves as initial point of contact for Library volunteer applications; conducts initial review and relays information required for background checks.
  • Reviews and approves Library room rental requests.
  • Receives and schedules artist booking requests for Library Gallery.
  • Coordinates or assists with coordination of department projects and processes.
  • Serves as primary resource to others for the resolution of complex administrative issues.
  • Collects and reports statistics related to their areas of work. Conducts research, compiles data, and prepares documents for consideration and presentation.
  • Recognizes, initiates, and leads improvement activities.
  • Drafts, edits or recommends new policies and procedures.
  • Provides training and instructional documentation on business processes to Library staff.
  • Assists Library Director and other Library staff with tasks as needed.
  • Performs other similar assignments and projects as required.
  • May serve as an Emergency Worker.

MINIMUM QUALIFICATIONS:
 

  • High school diploma or equivalent; and
  • Two (2) years of previous work experience in a customer service and administrative support related position with excellent interpersonal skills; or
  • An equivalent combination of education, training and work experience that produces the knowledge, skill, and ability to perform the essential duties and responsibilities of the position.
  • Must be able to pass a pre-employment criminal background check.

  • Knowledge of principles and processes for providing customer and personal services.
  • Ability to maintain confidentiality, and exercise political savvy and discretion at all times.
  • Knowledge of business and management principles.

  • Advanced skills with Microsoft applications and applications specific to area of assignment.
  • Ability to operate routine and non-routine office related equipment.
  • Advanced skills in organization, priority setting and administrative coordination.

WORKING ENVIRONMENT & PHYSICAL ACTIVITIES:

  • The essential duties/activities for the position are performed indoors in a standard indoor office/reception area environment. Minimal outdoor work is performed while running errands to Littleton Center in a personal vehicle in weather conditions that range from moderate to severe including rain, snow, ice, dust, heat.
  • Physical activities include the ability to: lift, carry, push or pull objects weighing 25 pounds or less with or without assistance.
