Description

The City of Littleton is seeking a qualified Project Coordinator to organize programs, projects, and activities in accordance with the mission and goals of the organization.  This position will work closely with team members to ensure that all project requirements, deadlines, budgets and schedules are on track. Responsibilities include coordination of organizational studies, designing systems and procedures, submitting project deliverables, preparing status reports, and establishing effective project communication plans.
 
This is full time, 2-year limited duration position that requires immediate focus on organizing project schedules & budgets, developing standard operating procedures, and public outreach & communications.

Essential Duties & Responsibilities

  • Coordinate organizational studies and evaluations, design systems and procedures, conduct work simplifications and measurement studies, and prepare operations and procedures manuals to assist management in operating more efficiently and effectively;
  • Develop detailed project plans, monitor project plans, schedules, work hours, budgets and expenditures, and ensure project deadlines are met in a timely manner;
  • Manage programs and special projects, including developing work plans, monitoring progress, performing analysis, facilitating between various project participants, and providing quality control;
  • Provide analytical management assistance by planning, coordinating and directing programs, conducting surveys and studies, and special projects;
  • Assist with setting priorities, goals, objectives and plans for projects/programs;
  • Measure project performance using appropriate tools and techniques;
  • Establish effective project communication plans and ensuring their execution.
  • Organize and participate in stakeholder meetings, and ensure timely and relevant communication with all project stakeholders;
  • Coordinate projects and their interdependencies;
  • Assist in determining financial methods, procedures and costs pertaining to a departmental service or program; conducts cost benefit analysis and reviews and prepares financial and statistical reports;
  • Perform complex research and analysis, regarding various services, programs and projects;
  • Develops, manages and writes compelling and accurate content about departmental programs for public-facing web pages, digital platforms and print media;
  • Manages the department's citizen engagement efforts, and tools to respond effectively to them, including social media platforms;
  • Interpret complex written information, such as contracts, reports, legislation, and legal documents;
  • Assist in the development of RFP's and contracts;
  • Design forms, certificates, documents, and prepare other graphic presentations;
  • Where required, prepare grant applications and handle the details of grant or proposal preparation and administration including contracts with federal, state and local agencies;
  • Maintain project files, both electronic and hard copy, with all relevant information and documentation;
  • Implement records management program for filing, protection, and retrieval of records;
  • May serve as an Emergency Worker;
  • Performs other similar assignments and projects as required.

Minimum Qualifications

  • Bachelor's degree from an accredited college or university with major course work in public administration, business administration, or a closely related field; and,
  • A minimum of three (3) years of municipal government related experience in research, facilitation, analysis, and report writing or,
  • Preference for Certificate in Project Management;
  • An equivalent combination of education, formal training, and work experience that produces the knowledge, skill, and ability to perform the essential duties and responsibilities of the position.

  • Ability to find innovative ways to resolve problems;
  • Proficiency with specialized project management software such as Microsoft Project
  • Process mapping and experience with process mapping systems, such as Visio;
  • Analytical, critical, and strategic thinking skills;
  • Ability to exercise judgment, manage multiple tasks, and work with deadlines.
